One event. One shared runbook.

Keep sales, banqueting, the kitchen and engineering working from the same version.

Create a single source of truth

Give the event one approved brief: purpose, timing, guest count, spaces, menu, access needs, equipment and named decision-makers. Record the version and approval time. Separate confirmed commitments from open requests so an informal conversation does not become an unplanned promise.

Rehearse the transitions

Focus the walkthrough on moments where departments meet: guest arrival, doors opening, meal service, speeches and departure. Check what happens if one stage runs late. Include supplier access and the clearing route, not just the room as guests first see it.

Control changes calmly

Define who can approve additional spending or a revised service time. Tell every affected department when the brief changes. After the event, hold a short review based on what actually happened. Turn recurring issues into a change to the next runbook instead of relying on memory.

PUT IT INTO PRACTICE

  • Name the event lead and a deputy.
  • Confirm department acknowledgement of the final version.
  • Walk through delays and equipment failure.
